COMMUNICATIONS

The communications division is focused on building effective communication relationships with students, parents, staff, and the community. 

With a focus on sharing important information and district news with our patrons, this division manages print and online publications, the district website, social media channels, media relations, video production and district events. This division also oversees requests for information from the media and the public.

The public relations division recognizes that communicating effectively with parents and patrons is critical for the success of the district and its students.

School-approved platforms include Apptegy Rooms, Google Workspace (Docs, Sheets, Forms,

Google Classroom and district-issued Google Gmail (both CPS "to and from" accounts), Infinite Campus, StopIt, Edgunity (Imagine Learning), and Acellus.

Claremore Public Schools is launching a new updated mobile app that helps students, parents, and community members know what is happening on campus right from their phones. We know that families are using smartphones as a primary means to communicate. That’s why we’ve created an app that is custom-built for mobile. On the app, you can find cafeteria menus, real-time sports scores, contact information for staff, and event information.

After listening to many parents/guardians on their concerns about having multiple apps to communicate with teachers, CPS looked into a new and easier way of communicating.

Rooms eliminate the need for multiple apps like Seesaw, GroupMe, Remind 101, and others like them.

All staff will use ROOMS so we encourage you to actively embrace ROOMS as a valuable tool to participate in your child's education. Using this platform will strengthen the partnership between home and school, ultimately contributing to your child's academic success.

How do I get started with Rooms?

Step 1: Download the Claremore mobile app.

Step 2: Check your inbox for an email from @edurooms.com. Click “Create a password” in the email to connect your account with your student.

Step 3: Finish your registration by creating a password unique to edurooms or log in with Google, Microsoft, etc. You’ll use the same email address and password to log in to Rooms in the 
 district app. If there are problems with signing in, you can request a Guardian Invite from your child's teacher. You will receive a Magic Code and a Student ID that allows you to connect with your child's account.

Step 4: You can access Rooms by tapping the Rooms icon in the bottom right corner of the app. Sign in with the email the invitation was sent to and the password you created and start using Rooms!

Over the past year, ROOMS has made several improvements to enhance its functionality and user experience. Here are some of the enhancements you can look forward to:

Flyer Distribution

Our district cooperates with approved community partners by posting eflyers online and distributing them electronically through our service provider, Peachjar. As part of our efforts to be more environmentally friendly, embrace innovative technology and maintain fiscal responsibility, we have transitioned to electronic flyer delivery and no longer distribute paper flyers.
 
To request eflyer approval, follow the steps below. If approved, your flyer will be emailed to all parents at the relevant schools and posted online to district Peachjar page(s). 

To request eflyer distribution:

  • Visit www.peachjar.com

  • Click on the Program Provider link and register for an account, selecting Enrichment or Community Organization as your account type.

  • Review the flyer distribution guidelines below to determine if your flyer is eligible for distribution.

  • Upload your flyer for approval. 

Your flyer will be automatically submitted to the district office. District staff will review the material and approve or deny it based on the standards below. Please note: Peachjar charges a fee for this service that is typically much less than the cost to copy and deliver paper flyers to each school.

Flyer Distribution Guidelines

Claremore Public Schools will continue to approve requests for distribution under the following criteria:

  • Distribution of information is not permitted without the expressed, written permission from the communications division via Peachjar.

  • Distribution is limited to Peachjar only; materials will not be sent home with students.

  • Materials primarily of a religious or political nature will not be approved for distribution.

  • Flyers from non-profits will typically be approved, granted they meet all other guidelines under Board Policy #2060.

  • For-profit organizations will not be allowed to distribute materials to students unless:

    • the organization is working in cooperation with school groups in the organization; 

    • the flyer is to promote board-approved fundraisers directly benefiting the district or a student group. 

  • Distribution to staff

    • Non-profit organizations requesting to distribute information to staff will generally be approved so long as the content of the printed materials is appropriate and follows the guidelines of the distribution policy. 

    • For-profit organizations will be allowed to distribute materials to staff members if district staff receive a direct benefit or cost savings.

Flyer Distribution Information for Parents

Claremore Public Schools utilizes an electronic flyer communication and delivery tool called Peachjar. This green initiative saves our community partners and schools tons of paper and reduces copy costs by thousands of dollars. In addition, posting school flyers in this electronic backpack removes a significant administrative burden from teachers, office staff, and volunteers. This electronic method of school flyer delivery has replaced all paper distribution of flyers at your child’s school. Please visit with your school principal if you do not have email or internet access.

With our Peachjar eflyer program, the eflyers will automatically be sent to the primary parent or guardian email on file with the district as well as posted online for easy access. We also suggest you add school@peachjar.com to your email contacts. This system is used exclusively for the distribution of school-approved flyers. Your email address will not be shared or used for any other purpose. When you receive your first eflyer, be sure to click “always display images.” All flyers may also be accessed by clicking on the Peachjar logo on the school site web pages.

Media members must submit all requests for interviews and video footage to Jamie Brace, Claremore Public Schools' Director of Communications, at 918-923-4210 or jbrace@claremore.k12.ok.us.

Media members must seek permission through the Communications Department to access school property, school sites, classrooms, buildings, and all other Claremore Public Schools facilities. Generally, permission will be granted as long as a member of the Communications Department accompanies the media member, and the reporting activities do not disrupt school activities, interfere with the privacy of students or staff members, and do not jeopardize the safety of students, staff members, or visitors.

With winter weather upon us,  Claremore Public Schools provides information that may answer frequently asked questions regarding winter weather scenarios.

We aim to hold school according to the calendar approved by the Board of Education. We understand the logistical challenges caused by closing school with limited notice and will only do so if needed to ensure the safety of our students and staff.

Several factors are considered when deciding to close, including the amount of snow or freezing rain, road conditions, temperature, wind chill, and the ability to clear parking lots and sidewalks. District administrators closely monitor local forecasts and continuously consult with trained meteorologists from local media partners when the potential for severe weather is first announced.

Because forecasting is not a guaranteed science, we will also exercise caution when the forecast calls for inclement weather to begin during the school day. We do not want to put students in danger by bringing them to school and then transporting them back home with unsafe road conditions. 

District administrators personally drive roads within the district to determine conditions beginning as early as 3 a.m.

When and how will I be notified that the school is closed?

Our goal is to make the final decision to cancel school by 6:00 a.m. on the day under consideration. 

There are some circumstances where severe winter conditions already exist, and we can determine the need to close school the night before. However, we know the weather in Oklahoma can change rapidly, and even the best forecast may change before a storm hits.

If school closes or adjustments to the schedule need to be made, an announcement will be made via 

  1. The district's alert notification system includes all calls, texts, and notifications through the mobile app.

  2. the district website

  3. the district social media, and 

  4. local television stations.

To ensure you receive these messages, please ensure your contact information is up-to-date in the parent portal. You may contact your child’s site Registrar or the Enrollment Center if you need assistance. 

When school is closed due to weather, all afterschool activities, including athletic practices, home competitions, and district evening events, will be canceled if school is closed.

Will all closures be considered Distance Learning days? 

CPS has two options for school closures based on the circumstances and the District’s ability to meet the State Department of Education's hour requirements.

Option #1 - Good Old Fashioned Snow Day: All Claremore  Public Schools are closed. No after-school activities will occur on days when schools are closed due to inclement weather. This option will be used based on the weather event and the District’s ability to meet the State Department of Education's hour requirements.

Option #2 -Distance Learning (DL) Day: All Claremore  Public Schools are closed. are closed for in-person learning, and students will have a Distance Learning day. No after-school activities will occur on days when schools are closed for in-person learning due to inclement weather.  If it is designated as a DL day, students must complete the lessons assigned by their teachers on that day in Google Classroom to be counted present during distance learning days. 

In preparation for either option, all K-12 students should bring their school-issued devices and chargers home daily.
